A low unit price does not make a custom automotive gift program low risk. Buyers also need to know what the minimum order quantity includes, which specifications are approved at sample stage, how quality is checked, and which delivery assumptions sit behind the quote.

This guide gives procurement teams a practical sequence for comparing suppliers without turning the RFQ into a long email chain.

Start With the Program, Not the Product Photo

Two buyers can select the same dashboard product and still require very different production routes. A dealership may need a premium presentation box for vehicle handovers. A distributor may need neutral packaging and stable repeat-order SKUs. A trade-show agency may prioritise deadline certainty and split shipments.

Before asking for price, define:

  • buyer type and end-use scenario;
  • delivery country and required date;
  • estimated quantity and likely reorder volume;
  • logo method, colours, fragrance, and packaging route;
  • compliance or documentation requested by the destination market.

What MOQ Actually Covers

MOQ is the smallest production quantity a supplier can run under a defined specification. It is not one universal number. The practical MOQ may change when a project adds a custom colour, printed insert, fragrance blend, moulded component, or retail box.

Ask the supplier to separate four quantities:

1. Product MOQ: the minimum for the base item.
2. Decoration MOQ: the minimum for laser marking, pad printing, or another logo route.
3. Packaging MOQ: the minimum for custom boxes, sleeves, cards, or labels.
4. Refill or component MOQ: the minimum for fragrance refills or replacement parts.

A quote is easier to compare when each tier keeps the same assumptions. If a lower price quietly removes the gift box or changes the logo method, it is not the same offer.

Use a Three-Part Approval Gate

Digital artwork, a physical sample, and a production specification serve different purposes.

Digital artwork approval confirms placement, dimensions, text, colours, and the intended decoration method. It is fast, but it cannot prove texture, fragrance, assembly, or packaging feel.

Physical sample approval checks the real product. Review logo legibility, surface finish, colour appearance, scent, moving parts, fit, packaging protection, and the complete unboxing sequence.

Production specification approval records the final SKU, material, finish, approved artwork, packaging components, carton marks, inspection points, and shipment assumptions. This is the reference for bulk production and later reorders.

Define Quality Before Production

“Good quality” is not an inspection instruction. The buyer and supplier need observable checks: logo position tolerance, visible finish defects, assembly function, packaging damage, quantity, labels, and carton information.

For lot-by-lot inspection, procurement teams may use an acceptance-sampling plan appropriate to the product and risk. The official ISO 2859-1:2026 standard describes AQL-indexed sampling schemes; the inspection level and acceptance criteria still need to be agreed for the actual order.

Request a pre-shipment evidence pack containing inspection results, representative product photos, packaging photos, carton marks, and the approved specification reference. The factory FAQ lists the evidence buyers should request before release.

Compare Lead Time and Delivery Terms Correctly

Lead time should start from a named event, normally final artwork, sample, and deposit approval. Ask whether the quoted schedule includes material preparation, production, inspection, packaging, and handoff to the carrier.

Delivery terms also affect price and responsibility. The International Chamber of Commerce publishes the official Incoterms 2020 rules, which allocate costs, risk, and obligations under the selected trade term. Record the named place and rule in the quotation instead of writing only “FOB” or “DDP” without context.

RFQ Checklist for a Comparable Quote

Send the same brief to every shortlisted supplier:

  • selected product or target function;
  • quantity tiers and annual estimate;
  • logo files and colour references;
  • fragrance and material preferences;
  • packaging and insert-card requirements;
  • sample deadline and launch deadline;
  • destination country, delivery term, and named place;
  • requested inspection and documentation;
  • expected split shipment or reorder plan.

Then compare the full package: specification, approval gates, evidence, timing, and delivered cost. If the project is ready for supplier review, send the structured brief rather than requesting a price with no production assumptions.
